Who we are
Dartly AI is a trading name operated by Charles Gray. We provide AI automation and custom AI build services in the UK. For any questions about how we handle your data, contact us at hello@dartly.ai.
Data controller: Charles Gray, trading as Dartly AI.
What we collect
- Contact form submissions: the name, email, role, company, budget range, services of interest, and message you send us through the contact form.
- Agent suggestion submissions: the optional name and email you provide, the agent idea you describe, and the use case.
- Chatbot messages: the text you type into Colin, our website assistant, together with recent in-session message history needed to generate a reply.
- Technical data: your IP address may be processed by our backend to apply rate limits and prevent abuse. Standard server logs may briefly record HTTP request metadata.
Using Colin, our website assistant
If you use Colin, our website assistant, the message you enter is sent to OpenAI so a response can be generated. Please do not enter confidential, sensitive, or unnecessary personal information into the chat. We do not use chatbot messages for marketing profiling, but OpenAI may process and retain API data in line with its terms and data settings.
Why we process your data
We rely on the following lawful bases under UK GDPR:
- Contract / pre-contract steps: to respond to your enquiry, scope a custom build, or follow up about an agent suggestion.
- Legitimate interest: to operate the website, prevent abuse (such as rate limiting), and improve the service.
Who we share data with
We rely on the following service providers to operate the website and our business communications:
- Supabase — database and storage for form submissions (contact enquiries and agent suggestions).
- Resend — sending transactional email such as notifications and auto-replies.
- OpenAI — generating chatbot replies. Messages sent to Colin are forwarded to OpenAI's API and may be processed and retained by OpenAI in line with its terms and data settings.
- Microsoft / Outlook — receiving and sending Dartly AI business email.
Some of these providers may process data outside the UK. Where that happens, we rely on the safeguards published by each provider for international transfers.
How long we keep it
- Contact form and agent suggestion submissions are kept for up to 24 months from the last interaction, unless we need to retain them longer for legal or accounting reasons.
- Chatbot messages are processed by OpenAI under its own retention policy. We do not maintain a separate long-term store of chatbot conversations on our own database.
- Rate-limit data, including IP addresses used by the rate limiter, is held in short-term memory and rotates continuously.
